Description

Assist in the development of the annual operating and capital budget. Monitor budget spending and provide variance information as required. Ensure compliance through inventory of hardware and software. Manage hardware and software product life cycle and ensure timely renewals on warranties and contracts. Coordinate the activities of the technology purchasing function for the infrastructure department. Create purchase orders for the acquisition of materials and performs related administrative tasks. In conjunction with other staff, write all requests for proposals and coordinates the awarding of these orders. Organize documentation and maintain its repository in the department Sharepoint community.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  1. Manage the entire hardware and software asset product life cycle.
  2. Maintains and monitor hardware/software inventory database to ensure license compliance.
  3. Tracks and renew hardware and software maintenance agreements and warranties. Provide appropriate documents to the legal department to obtain approval on these contracts.
  4. Develop and maintain the Network Support department Sharepoint community.
  5. Monitor and track budget to actual spending activity and provide information pertaining to variances.
  6. Consult with staff to write, distribute and award appropriate request for proposals or price quotations according to OPERS purchasing policy.
  7. Research equipment and software and make purchase recommendations to management.
  8. Ensure that OPERS hardware/software standards are followed.
  9. Enter purchase orders and requisitions into the accounting system and process all documentation through the finance department. Review monthly invoices for accuracy and work with vendors on any issues.
  10. Performs technology research and routine administrative duties as requested.

Education/Experience: High school diploma or G.E.D. required with two to four years experience in an office environment. Procurement and asset management experience preferred.

Language Ability: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.

Math Ability: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals and accounting procedures.

Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
